Why we store your personal information
Validation of your personal details is necessary to carry out the exercise of the Great Arab Minds nominees evaluation process. The Great Arab Minds collects the personal information necessary to process for awards nominations with the purpose of making a determination of eligibility and suitability for an award. We also collect personal information necessary to process cases of potential awardees forfeiture, should the system be brought into disrepute.
This privacy policy covers personal information collected for the purpose of:
- processing the nomination of the named nominee;
- carrying out the relevant checks on nominees to meet our duty of probity and due diligence.
- confirming the relationship between nominator and/or supporters and the nominee (if available);
- using data to liaise with relevant third-parties, for example, government departments, background check agencies and for the purposes of validating nominations;
- making offers of awards, and any related award correspondence to selected recipients.
- using recipient profiles for publicity of nominees/awardees lists or for the purpose of outreach activities, where the recipient has consented to do so.
- investigating complaints or forfeiture requests which may include liaising with relevant third parties (if required)
We will always ensure that your information is held confidentially and accessed only by those people involved in processing the nomination, evaluation and/or selection process, correspondence or complaint. This will be undertaken in compliance with all the relevant laws and regulations on data protection.
The type of personal information we collect
We currently collect and process the following information:
- Personal identifiers, contacts and characteristics (for example, name, date of birth and contact details);
- Personal data, including some special category data, which may include but not be limited to the following: racial or ethnic origin, political opinions, religious or philosophical beliefs, trade union membership, data concerning health, data concerning a natural person’s sex life or sexual orientation; disability data; data concerning a nominee’s socio-economic background; and job details.
- Some special category data is collected for one of two reasons. Diversity information such as ethnic origin is collected as part of the Great Arab Minds commitment to ensuring nominations and awardees lists recognize all groups in the Global Arab community
- We may also collect data on past criminal convictions and may Dubai Police and any affiliated government organizations to advise about any potential risk posed to the government and the Great Arab Minds program.
- When you visit our website, or interact with us via social media channels, we will collect your IP address and browsing preferences and choices.
- Personal data provided for promotional videos that share the experiences of those who have been awarded candidates. We will ask you to sign a consent form in such cases.
- Great Arab Minds reserves the right to monitor any content entered by you, but is not obligated to do so, and although we, at Great Arab Minds, cannot monitor all that is entered into the website, we reserve the right (without obligation) to delete, remove or edit any material that violates these terms and conditions. UAE and foreign copyright laws and international treaties protect contents of this website and you agree to be bound by copyright notices appearing on this website.
How do we collect it?
Most of the personal information we process is provided to us directly from one of the following sources:
- From you when you contact or interact with us by telephone, email, or through the online nomination form;
- From forms we may ask you to complete, particularly if you make or support a nomination for someone else or if you are the recipient of an award or medal;
- From government departments or agencies who might provide advice concerning information held in scope about an nominator and nominee
- Where you feature in a promotional video, we will process the following personal data: video, name, award received, and any other information you volunteer in the video;
- From any publicly available sources.
With whom do we share your information?
We may share your data with and or obtain information from third parties; these are determined by long-standing relationships with government departments and agencies that carry out the objectives listed above.
Your data or data you provide about a potential nominee may be shared with subject-matter specialists, KPMG and the Great Arab Minds committees for the purpose of considering nominations and making recommendations for awards. Similarly, any complaint about the recipient of an award may be shared with appropriate authorities.
In respect to promotional videos, your personal data will be shared by us publicly on social media and online platforms including our website www.greatarabminds.ae
As your personal data will be stored on our IT infrastructure it will also be shared with our data processors who provide web hosting, email, and document management and storage services.
How do we protect your data?
We take the security of your data very seriously. We have internal policies and controls in place to ensure that your data is retained appropriately and is not accessed except by our employees or authorized third parties in the proper performance of their duties.
When we engage third parties to process personal data on our behalf, they do so, on the basis of written instructions, are under a duty of confidentiality, and are obliged to implement appropriate technical and organizational measures to ensure the security of data in line with the relevant legislation.
How long do we keep it for?
Information relating to honours nominations may be retained for 10 years and a record will be maintained in perpetuity of those nominees who receive an award for the purposes of maintaining the records of the Great Arab Minds program. All promotional video personal data will be reviewed by us every 5 years to ensure it is still timely and relevant.
How is it stored?
Your personal data is stored in a number of ways:
- In paper files stored securely in office or in a recognised external facility
- In software systems and data banks that are managed by the Great Arab Minds program teams including the subject-matter specialists and KPMG
- All the data received about you from third-parties are stored on both ours and theirs [third-parties] systems electronically and in paper files.
Usage Termination
The Great Arab Minds has the right, as it deems appropriate, to terminate or suspend your access to and use of this website without notice and for any reason, including violation of these Terms and Conditions, or for any action it may deem unlawful or harmful to others. In the event of termination, you will no longer be able to access the website and Great Arab Minds will use every means available to enforce this termination.
Compensation
You agree to defend, secure, and maintain integrity of The Great Arab Minds award, and all its employees and agents against any and/or all liabilities arising out of any claim arising from any breach by you of these terms and conditions, including reasonable costs and fees to attorneys. You agree to fully cooperate in defending against such claims, and The Great Arab Minds program has the right to assume, at its own expense, exclusive defense and monitor any other matter subject to compensation by you, and you agree not to settle any issue without prior written consent of The Great Arab Minds program.
Disclaimer of Warranty
You clearly understand and agree that your use of the website or any material available through it is at your own responsibility, and The Great Arab Minds program or any of its employee do not provide any warranty that the website will not be interrupted, or that it will be free of problems, omissions or errors, and there is no guarantee as to the outcome you will receive from your use of the website. Content and tools on the website are provided to you as they are, without warranty of any kind, either express or implied, including but not limited to, name warranties, marketability, suitability for a particular purpose or use, or promotion.
Limits of Liability
The Great Arab Minds program does not in any way incur incidental, indirect, special, punitive, exemplary or consequential damages that may arise as a result of your use or inability to use the website, including but not limited to loss of income or expected profits, loss of reputation, loss of business, loss of data, computer malfunction, misrepresentation or other damages.

- The Personal Data Protection Law constitutes an integrated framework to ensure the confidentiality of information and protect the privacy of individuals in the UAE. It provides a proper governance for data management and protection and defines the rights and duties of all parties concerned.
Provisions of the law
Here are some of the provisions of the law in brief:
- The provisions of the law apply to the processing of personal data, whether in full or part through electronic systems, inside or outside the country.
- The law defines the controls for the processing of personal data and the general obligations of companies that have personal data to secure it and maintain its confidentiality and privacy. It prohibits the processing of personal data without the consent of its owner, except for some cases in which the processing is necessary to protect a public interest or to carry out any of the legal procedures and rights.
- The law gives the owner of the data the right to request for corrections of inaccurate personal data and to restrict or stop the processing of his personal data.
- It sets out the requirements for the cross-border transfer and sharing of personal data for processing purposes.

- Internet Access Management (IAM) policy
Telecommunications and Digital Government Regulatory Authority (TDRA) implements the Internet Access Management (IAM) policy in the UAE, in coordination with National Media Council and Etisalat and Du, the licensed internet service providers in the UAE.
